Reservations coordinate intended use. They do not replace preflight planning, aircraft inspection, dispatch procedures, or required operational checks.

    Choose the aircraft and time

    Open Schedule, select an aircraft, and enter start and end time. Use all-day blocks for appropriate non-flight events.

    Add useful context

    Enter purpose, destination, and notes that help the partnership coordinate without placing sensitive information in a broadly visible field.

    Resolve validation messages

    AirplaneHQ may reject overlap, access, availability, duration, advance-booking, buffer, qualification, instructor, or maintenance conflicts. Correct the underlying issue; do not create a misleading workaround.

    Change or cancel from the reservation

    Open the event, make the change, and provide cancellation notes when required. The activity history preserves key changes.

    Return early when appropriate

    Use return-early to release the remaining reserved time while preserving the original reservation context.
