Replacing and archiving keep the active library clear without silently erasing record history.

  1. 1

    Replace instead of duplicating

Use Replace when a new file supersedes the same logical record. Add a change note that explains the revision.

  2. 2

    Inspect version context

Confirm version number, timestamp, file information, and change note before restoring or downloading an older version.

  3. 3

    Archive when inactive

Archive a document that should leave ordinary views but remain recoverable.

  4. 4

    Restore deliberately

Restoring an older storage version creates or exposes a new current state; confirm it is truly the intended source.

  5. 5

    Delete only under policy

Permanent deletion may remove the application record and storage object. Follow retention, legal-hold, and partnership requirements.
